Contact form and enquiry data

When you submit the contact form or contact us directly, we use the details you provide to reply, assess whether we can help and keep an appropriate record of the conversation. Please do not send passwords, private credentials, special-category data or confidential datasets through the form.

Business contact and outreach data

For limited business-to-business outreach, we may process a professional name, job title, employer, business email address, the public source used, and a record of our message and any response. Sources can include an employer's official website or team page, official business registers, public professional directories and current business job listings. In a small number of cases, a business email address may be derived from a consistent email format publicly used by named colleagues at the same employer. We disclose that inference in the first message.

We use this data only to send a low-volume, tailored message where the person's public role appears directly relevant to the operational issue described. We do not use application, complaints, customer-support or sensitive personal-data routes for sales outreach, and we do not attach inferred contacts to automatic follow-up sequences.

Lawful basis and legitimate interests

Our lawful basis for this limited business outreach is legitimate interests under UK GDPR Article 6(1)(f): identifying and contacting an appropriate business representative about a service that is reasonably connected to their professional responsibilities. We apply a necessity and balancing test before contact, use business details rather than private contact data, keep the message specific and proportionate, and provide a simple way to object. We do not make decisions with legal or similarly significant effects using automated processing.

Your right to object

You can object to direct marketing at any time. Reply “no” to the message or email hello@manchesterai.agency. We will stop the outreach and retain only the minimum suppression information needed to make sure you are not contacted again.

Retention

Unanswered outreach records are normally deleted or anonymised within 12 months. Conversation records may be kept for up to 24 months where needed to manage a genuine business enquiry or establish what was agreed. Suppression records are retained for as long as reasonably necessary to honour an objection. Legal, accounting or dispute records may be kept longer where the law requires it.

Sharing and international processing

We do not sell business contact data. We share it only with service providers needed to operate our email, website, hosting and business systems, under appropriate contractual controls. Where a provider processes data outside the UK, we use an applicable adequacy decision or approved contractual safeguards.

Analytics

The site uses Google Analytics 4 to understand page views and lead actions such as form submissions, phone clicks and email clicks. This is used to improve the website and measure useful enquiries, not to sell enquiry data.
